Flow Academy — Privacy Policy

Flow Academy ("we," "us," "our") operates the Flow Academy mobile app and related services for the Flow Academy Brazilian Jiu-Jitsu network (Riverside, Indio, and future locations). This policy explains what information we collect, how we use it, and the choices you have. By using the app you agree to this policy.

Information We Collect

Account information — name, email, phone number, date of birth, home academy, and an optional profile photo.
Family information — parents/guardians may create and manage accounts for their children and link them to their own account.
Training activity — class check-ins (including the academy location where you check in), attendance history, belt rank and curriculum progress.
Content you share — photos, videos, posts, chat messages, and journal entries you submit in the app.
Emergency & medical details — optional information you choose to add to a student profile so coaches can respond appropriately.
Event, store & tournament data — registrations, RSVPs, orders, and competition entries.
Payment information — handled by our payment processor (Stripe). We do not store full card numbers; we keep a record of the transaction and status.
Device & technical data — a push-notification token for the device, and basic information needed to operate and secure the app.

How We Use Information

To run academy services: check-in, attendance, belt progress, schedules, events, the store, and tournaments.
To send notifications you opt into (class reminders, promotions, "you're up" tournament alerts).
To process payments, memberships, and orders.
To keep the community safe — moderating shared content and enforcing our rules.
To communicate with you about your account and our programs.

Children's Privacy

Flow Academy serves families, including children who train at our academies. Accounts for children are created and managed by a parent or guardian. Children do not have access to private direct messaging. Photos that include a minor are reviewed before they appear in any feed, and a parent can opt a child out of photo sharing at any time. We do not knowingly collect personal information directly from children without parental involvement. Parents may review, update, or request deletion of their child's information by contacting us.

How Information Is Shared

We do not sell your personal information. We share information only with service providers that help us operate the app:

Supabase — secure database, authentication, and file storage.
Stripe — payment processing.
Expo — delivery of push notifications.
Twilio — delivery of text messages, where you have asked to receive them.

We may also disclose information if required by law or to protect the safety of our members.

Text Messages (SMS)

If you give us your mobile number and agree to receive texts, we collect that number and a record of your consent — what you agreed to and when — along with the messages sent between you and the academy, so our staff can see the conversation history and answer you properly.

We use your mobile number only to send you the messages described in our Terms of Service: booking confirmations and reminders, class changes, membership and account notices, and replies from our coaches and front desk.

We do not sell, rent, or share your mobile number or your text message content with third parties or affiliates for their own marketing purposes. The only third party that receives your number is Twilio, the service that delivers the messages on our behalf, and they may only use it to deliver those messages. No mobile information is shared with anyone for marketing or promotional purposes. Text messaging originator opt-in data and consent — the record of your agreement to be texted — is never sold, rented, or shared with any third party or affiliate for marketing or promotional purposes.

Message frequency. Message frequency varies. You receive messages only when something is actually happening — a booking, a class change, or a reply to something you asked us.

Message and data rates may apply. Flow Academy does not charge you for these messages, but your mobile carrier may charge you for messages you send or receive, depending on your plan.

How to stop, and how to get help. You can stop texts at any time by replying STOP to any message, or by asking a member of staff. For help, reply HELP to any message, email connect@flowacademyhq.com, or call (951) 337-3781. See our Terms of Service for full details of the messaging programme.

Analytics, Advertising Cookies and Do Not Track

We advertise Flow Academy through Google Ads, and this site uses Google Analytics to understand, in general terms, how visitors use it. When you arrive from a Google ad, Google sets cookies on your browser so we can tell which ads lead to a trial booking or an inquiry, including on our booking page. We use this only to measure and improve our own advertising — it is not used to build profiles for anyone else, and it is never combined with your text-message consent record.

Our websites use Google Analytics to measure visits; our Indio and Riverside websites also use Google Ads. These may collect information about your visit over time and across other websites. Our websites do not respond to browser “Do Not Track” signals. Our online booking pages use Google’s conversion measurement to count bookings that come from our ads; ad personalization and remarketing are turned off on them. Our pages also load fonts and code libraries from content networks (Google Fonts, cdnjs, jsDelivr, esm.sh), which receive your IP address and browser details to deliver them. Our inquiry and affiliate forms use Cloudflare Turnstile to stop spam bots; it receives your IP address and browser details so it can tell a person from a bot. You can turn off personalized ads in Google’s My Ad Center and block or delete cookies in your browser.

Your Choices

Update your profile or a child's profile in the app at any time.
Turn notifications on or off in your device settings.
Opt a child out of photo sharing.
Delete your account and data directly in the app — go to Account → My Info → Delete Account. When you delete your account, we remove your login right away and delete the rest of your information within 30 days, except records the law requires us to keep, such as payment records and signed agreements and waivers. Deleting your account does not cancel your membership. You may also request deletion by contacting us (see below).

Data Retention & Security

We keep your information for as long as your account is active or as needed to provide our services and meet legal obligations. We use industry-standard safeguards (encryption in transit, access controls, and row-level security) to protect your data. No method of transmission or storage is 100% secure, but we work to protect your information.

Changes to This Policy

We may update this policy from time to time. We will post the new version here and update the "Last updated" date above.
