Flow Academy ("we," "us," "our") operates the Flow Academy mobile app and related services for the Flow Academy Brazilian Jiu-Jitsu network (Riverside, Indio, Yucaipa, and future locations). This policy explains what information we collect, how we use it, and the choices you have. By using the app you agree to this policy.
Information We Collect
- Account information — name, email, phone number, date of birth, home academy, and an optional profile photo.
- Family information — parents/guardians may create and manage accounts for their children and link them to their own account.
- Training activity — class check-ins (including the academy location where you check in), attendance history, belt rank and curriculum progress.
- Content you share — photos, videos, posts, chat messages, and journal entries you submit in the app.
- Emergency & medical details — optional information you choose to add to a student profile so coaches can respond appropriately.
- Event, store & tournament data — registrations, RSVPs, orders, and competition entries.
- Payment information — handled by our payment processor (Stripe). We do not store full card numbers; we keep a record of the transaction and status.
- Device & technical data — a push-notification token for the device, and basic information needed to operate and secure the app.
How We Use Information
- To run academy services: check-in, attendance, belt progress, schedules, events, the store, and tournaments.
- To send notifications you opt into (class reminders, promotions, "you're up" tournament alerts).
- To process payments, memberships, and orders.
- To keep the community safe — moderating shared content and enforcing our rules.
- To communicate with you about your account and our programs.
Children's Privacy
Flow Academy serves families, including children who train at our academies. Accounts for children are created and managed by a parent or guardian. Children do not have access to private direct messaging. Photos that include a minor are reviewed before they appear in any feed, and a parent can opt a child out of photo sharing at any time. We do not knowingly collect personal information directly from children without parental involvement. Parents may review, update, or request deletion of their child's information by contacting us.
How Information Is Shared
We do not sell your personal information. We share information only with service providers that help us operate the app:
- Supabase — secure database, authentication, and file storage.
- Stripe — payment processing.
- Expo — delivery of push notifications.
We may also disclose information if required by law or to protect the safety of our members.
Your Choices
- Update your profile or a child's profile in the app at any time.
- Turn notifications on or off in your device settings.
- Opt a child out of photo sharing.
- Delete your account and data directly in the app — go to Account → My Info → Delete Account. This permanently removes your account, profile, and associated data. You may also request deletion by contacting us (see below).
Data Retention & Security
We keep your information for as long as your account is active or as needed to provide our services and meet legal obligations. We use industry-standard safeguards (encryption in transit, access controls, and row-level security) to protect your data. No method of transmission or storage is 100% secure, but we work to protect your information.
Changes to This Policy
We may update this policy from time to time. We will post the new version here and update the "Last updated" date above.
